All applicants must provide a Criminal Record and Judicial Matters Check with their application. This applies to new licence applications, renewals, and licence type changes.
Your CRJMC must be issued within six months of the date you submit your application. An older check will not be considered valid, so time your check close to when you apply.

Applicants who live outside Ontario may use an out-of-province police check issued in Canada that is equivalent to a CRJMC.

When your results arrive, keep the original file exactly as you received it. Do not print and scan it, rename it inside the document, or edit it in any way before uploading it with your licence application. If you plan to apply by mail, add the embossed physical certificate (+$9.00) at checkout.
Licences expire, and every renewal needs a fresh CRJMC.
Ontario says an individual licence’s expiry date is tied to your date of birth and falls two birthdays after it is issued — roughly two years. You can renew up to 90 calendar days before your licence expires.
Because the CRJMC must be issued within six months of your renewal submission, the check from your last application will be far too old. A practical approach is to order a new CRJMC once you are inside the 90-day renewal window, then submit your renewal promptly.
If you change licence type — for example from security guard to private investigator, or to a combined licence — Ontario lists the CRJMC among the documents you must submit again.
Businesses that provide security or investigation services need agency licences too.
For agency and partnership licences, Ontario says each officer, director, partner or sole proprietor must provide a Criminal Record and Judicial Matters Check with the application, issued within six months of the submission date. A corporation with three directors therefore needs three current checks.

The CRJMC is the middle of Ontario's three levels of police record check.
Under Ontario's Police Record Checks Reform Act, 2015, a Criminal Record and Judicial Matters Check includes everything in a basic Criminal Record Check — applicable criminal convictions and certain youth findings of guilt — plus:

Your results are released to you first, so you see them before anyone else. Ontario's eligibility rules include a clean criminal record requirement, and the ministry reviews what your CRJMC shows.
